Guide for Authors

Submission of Papers and Posters:

The sole means for authors to submit scientific papers & posters is the on-line Scientific Management System (SMS); this also provides all the information authors need to participate in UGI 2011. Abstracts should be submitted for evaluation by the Scientific Sub-Committee (SSC) of the LOC for UGI 2011. Links are available on the conference web site.

Outline of Scientific Submissions:

Submissions can be made in either category, paper or poster, according to the following guidelines:

  Paper Poster
Abstract, for assessment and acceptance at the conference. YES YES
Full, entire (unabridged) text of paper to be published in the Conference Proceedings YES NO
Oral presentation in technical session; aided by slide presentation. YES NO
Programmed 45-minute poster session at the exhibition for authors to respond to queries NO YES
Poster for display on exhibition panels. NO YES

Abstracts, full papers and texts included in the posters must be written in either English or in Spanish, the two official conference languages.

Procedure for Authors for Participate:

Authors submitting a paper or poster should follow this procedure:

  1. Enter personal details and the abstract text into the SMS.
  2. The author will receive e-mail confirmation that the abstract has been received, together with a password enabling author access back into the system.
  3. The SSC will assess the abstract received. The result of the evaluation process will be given to each individual author by e-mail on the date set in the calendar.
  4. The author pays for registration as attendee by the deadline (30th August 2011).

Conditions for Publication and Presentation of Submissions:

  1. Submissions of those authors who have complied with the processes described here will be included in the Conference Proceedings (CD-ROM).
  2. For publication in Conference Proceedings, a full paper must be uploaded by the author as a file into the SMS by the 30th of August 2011; otherwise only the abstract will be included in the Proceedings.
  3. Payment of registration as an attendee allows for a maximum of two submissions only (two papers, or two posters, or one paper and one poster).
  4. Each author may present a maximum of two submissions only during the conference.
  5. Oral presentation of a paper lasts 20 minutes (a 15 minute speech, then 5 minutes for audience questions) scheduled within a technical session. A single technical session is chaired by two moderators and includes presentations of four papers all relating to a single conference theme.
  6. Poster authors will display their poster on panels and leave them up until the last day of the conference. A poster session is a period of 45 minutes in which the author answers attendee queries, next to the exhibition panel.
  7. The official conference languages of the conference are English and Spanish. A system for simultaneous interpretation between English and Spanish will be available in technical sessions (also in plenaries and main ceremonies).
